Assemble the financial statements and send them to the client
The Financial statements module brings together the presentation (language, format, sections), the notes to the financial statements (suggested by the system or custom) and the print bundle. Once the PDF is ready, the Send to client button prepares an email with the transmittal letter already filled in (federal and QC income tax, payment code); adding the attachments is up to you.
Open the “Print and configuration” page
In the engagement's left menu, under FINANCIAL STATEMENTS, click Print and configuration. The page is organized in two tabs:
- Layout: language, format, sections to include, print package.
- Notes & schedules: managing the notes to the financial statements and the schedules.
Choose the language and format
In the Layout tab, Output options section:
- Report language: Français or English. The cover page, the compilation engagement report, the statements and the notes all appear in this language.
- Format: Short (condensed) or Full. The Full format includes the table of contents, all the statements and all the enabled notes.
Tick the sections to include
In Included sections, tick or untick each row to print it or leave it out. Saved per engagement.
Typical case: for a CSRS 4200 compilation, keep everything except the statement of cash flows (not required in a compilation). For an “internal use” file, tick the notice so it appears on the cover page.
Notes & schedules tab: enable the applicable notes
Ledger offers two categories:
- Suggested by the system: notes that the TB makes likely (long-term debt, contractual commitments, capital assets…). Click to enable them.
- Custom: notes you add by hand, with the Add a custom note or Add from catalog button. Your firm's own notes and schedules (Settings, Default notes) are added automatically to every engagement, with the “Firm” badge. If you remove one, it stays available at the top of the Add from catalog menu.
Each note can be edited (FR/EN title, FR/EN body, moved up or down, deactivated, deleted). Notes marked “Locked” are mandatory (referenced by the engagement letter): their position and presence cannot be changed.
Ledger can fill in certain values by itself in a note's text: the client's name, the fiscal year end, or an account balance from the trial balance. You type a small placeholder and the right value appears at print time; the list of available placeholders is shown right under each note's text box. Zones in square brackets [LIKE THIS] are prompts you replace with your own text before printing.
Schedules (cost of goods sold, selling expenses, operating expenses…) are also listed in this tab, but their content is set up in the print preview, with the Schedules button: which sections they detail, by grouping or by account, and folding into the statement of income.
A Copy notes button copies all the active notes to the clipboard, ready to paste into TaxPrep.
Preview and print
Click the Open print preview button at the top. A new tab opens with the full report laid out, ready to print through the browser's print dialog (Ctrl+P / ⌘+P) or to save as a PDF through the virtual printer.
Those lines at the top and bottom of the pages come from the browser, not from Ledger. In the print dialog, open More settings and untick Headers and footers: they disappear from the printout and the PDF. The setting is remembered for future prints.
At the top of the preview, an options bar lets you adjust the report without going back to the engagement:
- Language: Français or English, to switch the whole report in one click.
- Status: Final or Draft. In Draft mode, a “DRAFT” watermark runs across every page, on screen and in the PDF.
- Years: 2 years or 1 year. By default, the preview follows the First year setting in the client file; you can still choose here to print only the current year, or to bring back the comparative column, without changing anything in the engagement.
- Expense presentation: group sections of the statement of income (for example, present everything as operating expenses), without touching the grouping or the GIFI codes.
- Labels editable in one click: the titles on the statement of income and the balance sheet (section headings, subtotals such as “Raw materials' purchases”, gross profit, totals) are edited directly in the preview: click the title, type the new text, press Enter. Per engagement and per language; clearing the field restores the default label; carried forward at roll-forward. Presentation only: grouping, GIFI and net income are unchanged.
- Schedules: the mapping of the statement of income schedules. Each schedule (lettered A, B, C) details one or more expense sections, or a specific line item (for example Rent), by grouping or by account. The Fold to a single line on the income statement option presents the covered sections as a single line with the reference (schedule A); the detail prints on the schedules page and its total always equals the folded line. Without folding, the detail stays on the statement of income and each covered line still carries the reference. Presentation only: net income, grouping and GIFI are unchanged; saved with the engagement and carried forward at roll-forward.
If the balance sheet doesn't balance (total assets don't equal liabilities plus equity), a red “OUT OF BALANCE” watermark covers every page of the preview and the PDF, and a badge next to the Print button shows the difference. Correct the trial balance or your adjusting entries before releasing the financial statements: the watermark disappears on its own as soon as the balance sheet balances.
To print several documents at once, use the Print package section: tick the documents (Financial statements, Trial balance, Adjusting entries, Grouped trial balance), then click Print package. Each one opens in its own tab and starts printing, in its own PDF file if you print to PDF.
The bundle opens several tabs one after the other. If your browser blocks pop-ups, allow them for ledgerapp.ca, otherwise only one document will open.
Send to client: the pre-filled email
Click the Send to client button at the top of the page. An email compose window opens, pre-filled with the standard transmittal letter:
- The recipient (the client's main email address; adjust it if you want to CC or BCC someone else).
- The subject (“Financial statements, {{client.name}}, fiscal year ended {{fiscalEnd}}”).
- The body, with the federal and provincial income tax amounts payable, pulled automatically from the Income taxes worksheet. The Revenu Québec payment code changes with every return: enter it each time you send, since Ledger does not carry it over from one send to the next. Outside Quebec, the letter follows the client's province: for an Alberta corporation, federal tax (CRA) and Alberta tax (Tax and Revenue Administration), with the payee and the corporation's account number (CAN) to use, and no payment code; in Ontario and the other provinces, a single amount paid to the CRA, since provincial tax is calculated in the T2.
Ledger doesn't attach the PDFs to this email automatically: you drag them into the window yourself. First open the print preview (step 5) and save it as a PDF, then drag and drop the PDF into the attachment zone of the email window. Do the same for the TB and the adjusting entries if you want to include them.
Please find attached the financial statements of Sample Company Inc. for the fiscal year ended December 31, 2025.
Income tax balance payable:
• Federal: $3,480.00 (no later than March 31, 2026)
• Quebec: $2,156.00 (no later than March 31, 2026)
• Revenu Québec payment code: ABCD-1234-5678
Please don't hesitate to contact us if you have any questions.
Best regards,
Your firm
The email body can be edited before sending. Firms that have customized their signature or tone will find it here.
Firm brand on documents
The financial statements PDF automatically picks up the brand set up for your firm in Settings → Firm:
- The logo on the cover page, at the size of your choice (small, medium, large) in Settings → Printing.
- The font chosen for headings and body text.
- The accent colour on separators and headings.
These settings also apply to printed worksheets and letters.
Our guide CSRS 4200 compilation engagements walks through each step of the engagement, from acceptance to the report.
Frequently asked questions
A date, an address or a page number appears at the top and bottom of the printed pages
The browser adds them, not Ledger. In the print dialog (Ctrl+P), open More settings and untick Headers and footers. The report then prints exactly like the preview.
Why doesn't Ledger attach the PDF to the email automatically?
Server-side PDF generation was tested and then dropped: too unstable in practice (it depended on Chrome running on the server). The compromise is to let you produce the PDF on the fly from the print preview and add it manually, which gives you a file identical to what you see on screen and lets you control the file name before sending.
The income tax amounts are blank in the email
The letter pulls them from the Income taxes worksheet. If that worksheet is not filled in yet (provision F, subsequent payments L, balance M), the amounts stay blank. Complete the worksheet before sending, or type the amounts directly in the email body.
Can I change the order of the sections in the report?
Not yet: custom ordering is marked “Coming soon”. For now, the order follows the list in the “Included sections” section (cover page, table of contents, report, balance sheet, statement of income, statement of retained earnings, statement of cash flows, notes).
Can I copy the notes to TaxPrep for the T2?
Yes. Use the Copy notes button in the Notes & schedules tab. All the text (title + body) of each active note is copied to the clipboard, ready to paste.
